Routing & Speed-to-Lead

Who takes each lead, the rules that decide it, and how fast a founder hears from a person.

1

Who takes the next lead

Round robin, skipping anyone who is out or already full today.

1.1The rotator

Mark a closer as out and watch the next 12 leads move.

  1. Lead 1A
  2. Lead 2B
  3. Lead 3C
  4. Lead 4D
  5. Lead 5A
  6. Lead 6B
  7. Lead 7C
  8. Lead 8D
  9. Lead 9B
  10. Lead 10C
  11. Lead 11D
  12. Lead 12B

Why a daily cap: Closer A holds 42 of September's 120 closes (35%). Without one, the best closer becomes the slowest to reply.

2

The rules, first match wins

Read top to bottom. The last two make sure no lead is ever left without an owner.

2.1Five rules

  1. 1If the founder already has an owner → keep the owner

Someone who comes back talks to the person they already know.

  2. 2If the opt-in came from an event link → the closer who ran the event

They met in person; the call starts warm.

  3. 3If the founder is in the us → the closers on us hours

The call lands in working hours on both sides.

  4. 4If anyone else → the rotator

Even load, and nobody waits for a busy closer.

  5. 5If every closer is out or full → the revops queue

No lead sits without an owner; RevOps assigns it within the hour.

In HubSpot the rotator is the workflow action “Rotate record to owner”, which needs Sales Hub or Service Hub Professional or Enterprise (checked 12 October 2026).

3

Speed to lead

The 209 fits who left the calendar: how long until a person reached them, and how many booked.

3.1Faster replies, more bookings

  • Under 5 minGreen38 founders · 76% booked
  • 5 to 30 minAmber61 founders · 62% booked
  • 30 min to 2 hRed58 founders · 47% booked
  • Over 2 hRed52 founders · 33% booked

Only 38 of 209 (18%) heard from a person within five minutes; half waited more than 39 minutes. Minutes count working time; the automatic email to book does not count as a touch.

3.2The clock

  1. Opt-in

The owner is set and gets a task to reach the founder.

  2. 5 minAmber

Still no touch: the owner gets a reminder.

  3. 30 minRed

Still no touch: the sales lead is told.

  4. 60 minRed

Still no touch: the lead moves to the next closer.

4

What if everyone were reached faster

A ceiling, not a forecast: pick a target and see the bookings it could add.

4.1The simulator

bookings a month: 160 instead of 111

If every founder reached after 5 minutes booked at the rate of the “under 5 min” group, and nothing else changed.

Speed may not be the whole cause: warmer founders may simply get answered first. An A/B test on the 5-minute reminder settles it.
